The Brief

In response to an operational requirement, thebigteam was asked to support two regional workshops, with only seven days' notice, to help re-engage over 60 Sales Managers from the client's retail network. The scope of the requirement was to design and deliver four break-out engagement sessions to allow the attendees to discuss and explore topics, identifying actions they need to take and the key blockers or challenges that need to be overcome; the scope also included providing and managing the audiovisual setup, videoing the event to create a summary clip of the workshops, a feedback survey and the write up of the event.

Approach

We strongly believe in creating activities that allow people to have meaningful dialogue where they can discuss topics openly in a safe environment, share each other's experiences and reach conclusions and consensus. We designed and built a simple breakout format to enable this dialogue and also included our sales process diagnostic tool, known by the client as the smartie chart. Our facilitators use our DJI Ronin stabilised cameras to capture footage of one of the events, and this was clipped up later into a short 2-minute video for the client.

Tools

  • Breakout activity templates

  • The 'smartie chart' diagnostic tool

  • Large roadmap wall graphic, great ideas and pothole cards

  • Audiovisual set

  • Streaming equipment

  • Stabilised camera rig and mics

  • A few tins of Celebrations!

  • Slido survey tool

Outcome

Having received the brief on a Tuesday, we wrote a proposal and were awarded a PO on the Thursday. The team picked up the brief, and we were in Southampton on the following Tuesday, delivering the session and then in Manchester on the Wednesday. We worked hand in hand with the client and their events team to make it happen.

The feedback from the delegates was fantastic … a rating of 4.5 out of 5 on the session with some lovely comments and feedback. The client was super pleased.
